Privacy Policy

PermitBuilder is operated by Woo Marketing Inc., doing business as PermitBuilder (“we,” “us”). This policy explains what information we collect through permitbuilder.app and app.permitbuilder.app (the “Service”), how we use it, and the choices you have. The Service is a business tool for contractors; this policy covers our contractor customers, their team members, and the homeowners whose information contractors provide to obtain permits.
What we collect
- Account and company information — names, work email addresses, company details, roles, and credential documents your company chooses to store (business licenses, insurance certificates, bonds).
- Job and homeowner information — the contents of the documents contractors upload (order forms, proposals, spec sheets, photos) and the job data extracted from them, which typically include a homeowner's name, property address, phone number, and email address.
- Electronic-signature records — for signed permit documents: the signature mark (drawn or typed), signer name, timestamps, and the signer's IP address, preserved as a tamper-evident certificate attached to the document.
- Payment information — handled by our payment processor (Stripe). Card numbers never touch our servers; we store only the card brand, last four digits, and expiration for display.
- Communications — messages sent through the Service (between your team and ours, and correspondence with municipalities conducted on your behalf) and emails you send us.
- Usage and log data — standard server logs (IP address, browser type, pages requested, timestamps) used for security and operations, and aggregate page/event counts from a self-hosted, cookie-free analytics service (Umami) running on our own infrastructure — no advertising identifiers, and the data never leaves our servers.
- Cookies — we use only functional cookies (session sign-in and, where enabled, our authentication provider's cookies). No advertising or cross-site tracking cookies; our analytics set no cookies at all.
How we use information
- To provide the Service: extract job data from uploaded documents, determine municipal requirements, prepare and fill permit applications, collect required signatures, submit applications, and manage municipal follow-up on the contractor's behalf.
- To operate accounts, billing, and support; to send transactional notifications about permits and account status.
- To secure, troubleshoot, and improve the Service (including de-identified, aggregated analysis).
- We do not sell personal information, and we do not use your information for third-party advertising.
AI processing
Uploaded documents are read by third-party AI services (for example Anthropic) acting as our processors to extract job data, and our research tools read public municipal websites to determine permit requirements. These providers process your content to provide the service to us; we configure and select providers so that your content is not used to train their models where the provider offers that control. Extracted data is always shown to you (and reviewed by our team) before an application is finalized.
When we share information
- Municipalities — the core purpose of the Service: permit applications, attachments, and related correspondence are submitted to the relevant city or village, and contain the job, company, and homeowner information the municipality requires.
- Service providers — vendors that host and operate the Service under our instructions: cloud hosting and storage, database and backup providers, authentication (Clerk), payments (Stripe), email delivery (Mailgun), and AI providers as described above.
- Within your company — your team members see your company's jobs according to their roles.
- Legal — if required by law, subpoena, or to protect the rights, safety, or property of PermitBuilder, our customers, or others.
- Business transfers — as part of a merger, acquisition, or sale of assets, with notice to account owners.
Homeowner information
Contractors provide homeowner information to us so we can prepare and file permit applications for work at the homeowner's property — we process it on the contractor's behalf for that purpose only. If you are a homeowner with questions about information in a permit application, contact your contractor, or email us at hello@permitbuilder.app and we will help route your request.
Retention
We keep account and job records while your account is active and afterwards as reasonably needed for permit record-keeping, dispute resolution, tax, and legal obligations. Permit activity is recorded in an append-only audit trail; signed documents and their signature certificates are retained as long as the related permit records. You can request deletion (below), subject to those obligations.
Security
Data is encrypted in transit (TLS); stored credentials and configuration secrets are encrypted at rest; access is role-scoped so contractors only ever see their own company's data; files are served through tenancy-checked routes. Off-site backups run on a fixed schedule. No internet service can promise perfect security, but permit data is treated as confidential business information.
Your choices and rights
- Account owners and admins can view and correct company, team, and job information directly in the Service.
- You can request a copy or deletion of your data by emailing hello@permitbuilder.app. We will respond within 30 days; deletion is subject to the retention needs above.
- Transactional emails (permit status, signature requests, billing) are part of the Service; marketing email, if we ever send it, will include unsubscribe links.
- Depending on your state of residence, you may have additional rights (access, correction, deletion, portability). We honor such requests regardless of state where practicable — use the email above.
Children
The Service is for business use and not directed to anyone under 18. We do not knowingly collect information from children.
Changes to this policy
We may update this policy from time to time. For material changes we will notify account owners by email or in-app before the change takes effect. The current version always lives at permitbuilder.app/privacy.
